What is accounting and bookkeeping?
Bookkeeping is recording every financial transaction of your business: sales, purchases, expenses, payments and receipts. Accounting turns those records into reconciled ledgers and reports, such as the profit and loss account, balance sheet and cash flow, that tell you how the business is doing and feed your GST, TDS and income tax filings.
Good books are no longer optional. The GST portal now locks the tax liability in GSTR-3B to what your GSTR-1 reports, companies must use accounting software with an audit trail that can't be switched off, and banks, investors and the tax department all expect figures that match. Books that are only "done at year-end" lead to missed input tax credit, wrong returns, notices and late fees.
We keep your books current every month, in your own software and in your name, so you always know your cash, dues and profit, and your filings are built on figures that reconcile.
Who must maintain books of accounts
Some businesses are required to keep books by law; for everyone else, good books save money at filing time.
- 1Companies and LLPsMust keep books on an accrual basis, at the registered office, for every financial year, whatever their size or income.
- 2Businesses above the income tax limitsIndividuals and HUFs with business income above ₹2.5 lakh or turnover above ₹25 lakh in any of the last 3 years.
- 3ProfessionalsDoctors, lawyers, architects, consultants and other specified professions with gross receipts above ₹1.5 lakh.
- 4GST-registered businessesMust keep records of supplies, stock, input tax credit and tax paid, at the principal place of business.
- 5Businesses needing a tax auditTurnover above ₹1 crore (₹10 crore if cash receipts and payments are within 5%), or professional receipts above ₹50 lakh (₹75 lakh with the same cash condition).
- 6Anyone raising moneyLoans, investors and government tenders all ask for up-to-date financial statements.

IBACT vs an in-house accountant vs doing it yourself
For most small businesses, outsourced bookkeeping costs less than a part-time accountant and is reviewed by more than one person.
| What matters | IBACT | In-house accountant | Do it yourself |
|---|---|---|---|
| Monthly cost | From ₹2,499 + GST | Salary, PF and software, often ₹20,000+ | Your time, every week |
| Leave and resignations | A team covers it | Work stops when they're away | Work stops when you're busy |
| GST and TDS knowledge | Updated with every rule change | Depends on the person | Learn as you go |
| Review | Entries checked by a senior | Usually one person | None |
| Reports | Monthly MIS and review call | On request | When you find time |

WhatsApp APIAccounting and bookkeeping: frequently asked questions
How much do accounting and bookkeeping services cost?+
Our plans start at ₹2,499 a month + GST for up to 100 transactions, ₹4,999 for up to 300 with inventory and year-end finalisation, and ₹9,999 for up to 800. Extra transactions are ₹15 each. Use the plan finder above for your volume.
What counts as a transaction?+
Each sales invoice, purchase or expense bill, receipt, payment or bank entry we record is one transaction. A bank entry that only settles an invoice we've already recorded is matched, not counted again.
Is bookkeeping mandatory for small businesses?+
Companies and LLPs must keep books every year. Individuals and HUFs must keep books if business income is above ₹2.5 lakh or turnover above ₹25 lakh in any of the last 3 years, and specified professionals if gross receipts are above ₹1.5 lakh. GST-registered businesses must keep records of supplies, stock and tax.
Which accounting software do you use?+
We work in the software you already use, such as Tally Prime, Zoho Books or QuickBooks, or set one up for you. The software licence and data stay in your name.
What is the audit trail requirement?+
Since 1 April 2023, companies must use accounting software that records an edit log of every change to the books, which can't be switched off, and keep it for 8 years. We check this is enabled when we set up your books.
How long must books of accounts be kept?+
Companies must preserve books for at least 8 financial years. Income tax and GST rules also require records to be kept for several years, so we recommend keeping everything for at least 8 years.
How does the GSTR-3B hard lock affect my books?+
From the July 2025 tax period, the tax liability auto-filled from GSTR-1 can't be edited in GSTR-3B. Any mistake must be corrected through GSTR-1A before filing GSTR-3B, so sales must be recorded and checked accurately every month.
Do you file GST and TDS returns too?+
Our plans include the GST and TDS working from your books. Filing the returns can be added at a combined price, or handled by our GST and TDS filing services.
Can you update books for past years?+
Yes. We do a one-time catch-up for pending months or years, quoted after we see your bank statements and invoices, and then continue monthly. Remember GST returns can't be filed more than 3 years after their due date.
Will you prepare the balance sheet and profit and loss account?+
Yes. On the Growth and Scale plans we finalise the books at year-end and prepare the trial balance, profit and loss account, balance sheet and schedules for your auditor and tax filings.
Do you do the statutory audit?+
No. A statutory or tax audit must be done by an independent chartered accountant appointed by you. We prepare the books, schedules and working papers and coordinate with your auditor.
How do I share documents every month?+
By WhatsApp, email or a shared folder. Most clients forward bank statements and invoices by the 3rd of the month, and we send one list of queries instead of many messages.
When will my books be closed each month?+
By the 10th of the following month on Starter and Growth, and by the 7th on Scale, as long as documents reach us by the 3rd. That leaves time for GSTR-1 and GSTR-3B.
Is my financial data safe?+
We work in your own software with named logins that you can remove at any time. Companies' electronic books must be backed up daily on a server in India, which we help you set up.
What is an MIS report?+
A short monthly management report: sales, expenses, profit, cash in the bank, what customers owe you and what you owe suppliers, compared with earlier months, so you can make decisions without reading ledgers.
What is the MSME 45-day payment rule?+
Under the income tax rules, amounts owed to micro and small enterprises and paid after 45 days (15 days without a written agreement) are disallowed as an expense until they are paid. We flag these dues every month.
Can I switch from my current accountant to IBACT?+
Yes. We take over from your last closed month, check the opening balances, and catch up any pending entries. You don't need to change software.
Do you support e-commerce and marketplace sellers?+
Yes. On the Scale plan we match marketplace and payment gateway settlements, fees, returns and TCS with your sales, which is where most online sellers lose money in their books.
